2. Which personal data do we process?
We only process personal data that you provide to us yourself or that is necessary for our services.
 

2.1 Identification and contact details

  • First and last name

  • Address details (if necessary)

  • Telephone number

  • Email address


2.2 Health data (in case of treatment)

  • Intake form

  • Medical history (anamnesis)

  • Relevant medical information

  • Treatment reports and progress notes

Health data are special categories of personal data. We process these exclusively with your explicit consent and only for treatment purposes.
 

2.3 Other data

  • Photo (for example via WhatsApp or social media, only if provided by you)

  • Payment and invoice details

  • Camera footage of the entrance (see Article 6)

3. For what purposes do we process your data?

We process personal data for the following purposes:

  • Scheduling, modifying, and canceling appointments

  • Preparing and carrying out treatment plans

  • Monitoring treatment progress

  • Invoicing and financial administration

  • Sending reminders, service messages and (if you have given consent) newsletters

  • Ensuring the safety of clients and property

We process your data exclusively on the basis of one of the following legal grounds:

  • Performance of a contract

  • Legal obligation

  • Your consent

  • Legitimate interest (for example security)
     

4. WhatsApp messages (without separate registration)

  • Body Care voor Mannen may send news messages, updates, promotions, or practice information via WhatsApp to (former) clients whose phone numbers we have received in the context of our services.

  • These messages are sent based on our legitimate interest, namely informing existing clients about relevant services and practice information.

  • No automatic unsubscribe link is used. You may unsubscribe at any time free of charge and easily from these WhatsApp messages by sending a message via WhatsApp stating, for example: “STOP”, “UNSUBSCRIBE”, or a similar request.

  • After receiving your opt-out request, we will no longer use your phone number for sending news or marketing messages via WhatsApp.

  • We do not send unsolicited messages to individuals without an existing client relationship.

5. Retention periods
We do not retain your personal data longer than necessary for the purpose for which it was collected.

  • Treatment data are retained in accordance with statutory retention periods.

  • Financial records are retained in accordance with the fiscal retention obligation (7 years).

  • Camera footage is retained for a maximum of 24 hours.

  • Newsletter data are retained until you unsubscribe.

  • After the retention period expires, your data will be securely deleted or destroyed.
     

6. Camera surveillance
For the safety of visitors and property, we use camera surveillance at the entrance.

  • The footage is retained for a maximum of 24 hours.

  • The footage is not publicly accessible.

  • Camera surveillance complies with the guidelines of the Dutch Data Protection Authority.
     

7. Sharing personal data with third parties

  • We do not provide your personal data to third parties unless this is necessary for the performance of our services or to comply with a legal obligation.

  • For our financial administration, we use an online accounting program. A data processing agreement has been concluded with this processor to protect your data.

  • We never sell your data to third parties.
     

8. Security
We take appropriate technical and organizational measures to protect your personal data against loss, misuse, unauthorized access, unwanted disclosure, and unauthorized modification.

Examples of measures include:

  • Secure email and password policy

  • Restricted access to client data

  • Regular system monitoring
     

9. Your rights
You have the right to:

  • Access your personal data

  • Have your data corrected

  • Have your data deleted

  • Restrict processing

  • Object to processing

  • Transfer your data (data portability)

  • Withdraw your consent

We will respond to your request within one month.

If you have a complaint about the processing of your personal data, you may contact the Dutch Data Protection Authority via www.autoriteitpersoonsgegevens.nl.

If our website uses cookies (for example for analysis or functionality), these are only placed in accordance with applicable legislation. For more information, please refer to our cookie statement, if applicable.
